Custom Branded Notebooks: Binding, Cover & MOQ

A branded notebook is the cheapest object in the box and the one people keep longest. That is why corporate buyers keep ordering them, and why a badly specified one gets thrown away in a week.

We produce custom notebooks at a 500-piece minimum. These are the four decisions that determine whether the notebook survives past the first meeting.

1. Binding: how the book opens

Saddle stitch. Staples through the spine, folded. Cheap, light, opens flat, and only works up to about 64 pages. Good for thin promotional notebooks.

Perfect binding. Glued spine with a square back. Looks like a paperback, holds 80–200 pages, and the spine gives you a printable surface for the brand. The trade-off is that it does not lie flat.

Wire-O / spiral. A metal wire through punched holes. Lies completely flat, folds back on itself, and is the standard for planners and work notebooks. It costs more in assembly than perfect binding.

Case bound (hardcover). A rigid board cover wrapped in paper, cloth or PU, sewn or glued block inside. Highest perceived value, highest cost, and the one that gets kept. Our 2026 diary set sits in the soft-cover range; the black floral 2026 diary shows the harder-wearing direction.

2. Cover material: what the hand feels

Paper cover with lamination. 250–300 gsm art paper, gloss or matte film. Cheapest credible option; scratches show over time.

Soft-touch lamination. The velvet finish. It is the single upgrade most likely to be noticed in a meeting, and it costs a fraction of a cloth cover.

Cloth / linen wrap. A woven fabric glued over board. Reads premium, resists wear, and prints only by foil, emboss or a printed label. Our Guangzhou city linen notebook is a linen wrap with a foil city mark.

PU leather. A synthetic leather with a grain. Cheaper than real leather, more formal than paper, and it tolerates being carried in a bag every day.

3. Inside pages: where the cost hides

Page count and paper weight drive both the price and the usefulness. A 160-page notebook on 80 gsm cream woodfree feels substantial; a 96-page notebook on 70 gsm feels like a giveaway.

Ruling matters more than buyers expect. Lined suits writing; dot grid suits designers, engineers and bullet-journal users; plain suits sketching. Printing a small brand mark or a page-number block at the foot of each page is a cheap way to keep the brand present after the cover is forgotten.

If the notebook is a planner, the internal layout is the product. A weekly spread with a dated grid, a notes column and a monthly overview is worth more than a thicker book with generic lines.

Binding Page range Best for
Saddle stitch 16–64 Event giveaways, lookbooks
Perfect binding 80–200 Corporate gifts, brand handbooks
Wire-O 60–200 Planners, field notebooks
Case bound 96–240 Executive gifts, retail sale

4. Branding: one mark, done well

The most common mistake is putting the logo on the cover, the spine, every page and the back. One well-executed mark beats five average ones.

Foil stamping on a cloth or PU cover is the strongest signal per dollar. Blind embossing is subtler and works well on soft-touch or uncoated stock. A printed belly band — a paper strip wrapped around the book — adds a second brand surface and can carry a message the cover cannot.

If the notebook is a gift, the belly band is also what makes it photographable. It is the same logic as a box sleeve on a card set.

Why 500 pieces

Notebook production combines printing, folding, binding and trimming, and each of those is a machine setup. At 500 pieces the setup is spread across enough units to make the price real; below that you are paying for setup, not for notebooks.

If you need 100 for a board meeting, the practical answer is a stock notebook plus a printed belly band or a foil stamp on an existing cover.

What to send for a quote

Size (A5 and A6 are the common ones), page count, inside paper and ruling, binding, cover material, branding method, and quantity. If you have a layout file, send it — otherwise we can propose one.

Lead time is 5–7 working days for a sample and 5–7 working days for mass production, FOB Xiamen.

See the current range on the custom notebooks page, including the colour cover A5 notebook.

FAQ

Can you print a different name on each notebook? Yes, by digital print or by a printed label on a stock cover. Variable foil is not practical.

Is a hardcover worth the extra cost? If the notebook is given to a client or sold at retail, yes. If it is a conference freebie, a soft cover with soft-touch lamination is the better spend.

Can the pages be perforated? Yes, on perfect-bound and wire-O books. It adds a die-cutting pass.

Under the minimum? Tell us the quantity you actually need — small runs get quoted case by case.
